Privacy Policy
Well Diagram, Inc. | Last updated: September 21, 2026
This Privacy Policy explains how Well Diagram, Inc. ("Well Diagram," "we," "us," or "our") collects, uses, discloses, and retains personal information when you visit welldiagram.com, join a waitlist, communicate with us, create an account, or use our self-service products and related services (collectively, the "Services").
The Services are designed for business and professional use in the United States. This Policy does not apply to information we process solely on behalf of an enterprise customer under a separate agreement, if that agreement provides different privacy terms.
1. Information We Collect
Information You Provide
- Account and contact information, such as your email address and communications with us.
- Payment, subscription, and transaction information, such as the customer and subscription identifiers assigned by our payment processor, currently Stripe, subscription plan, billing or payment status, transaction dates and amounts, and other limited billing information made available to us. Full payment-card information is provided directly to Stripe and is not received or stored by Well Diagram.
- Waitlist and inquiry information, such as your work email address, company information, product interests, and messages you submit.
- Customer Content, such as watchlist configurations, selected counties or operators, latitude and longitude, search radius, labels, and any notes, shortlists, assumptions, or user-adjusted values available in a product.
- Support and feedback information, including questions, correspondence, troubleshooting information, and suggestions.
Information Collected Automatically
When you access the Services, we and our hosting and security providers may automatically receive technical information such as your IP address, browser type, device and operating-system information, requested pages or resources, referring page, timestamps, and security or diagnostic logs. We also use cookies and similar technologies as described in Section 6.
We do not currently use advertising pixels or cross-site behavioral advertising tools. We do not currently use a separate website analytics package. If we add nonessential analytics or tracking technologies, we will update this Policy and provide any notice or choices required by law.
Information From Public Sources
The Services collect oil and gas records and related information from public sources, including Railroad Commission of Texas datasets. Those records may include operator names, business addresses, and other information associated with an individual or small business. We organize and display this information as part of the Services. Public-source records are distinct from information collected from a Well Diagram account holder.
2. How We Use Information
We use personal information to:
- provide, operate, authenticate, maintain, and improve the Services;
- create and administer accounts, subscriptions, billing status, watchlists, exports, and emailed digests;
- process payments and manage subscriptions through our payment processor, currently Stripe;
- send sign-in links, requested digests, service messages, billing notices, security alerts, and other transactional communications;
- respond to support requests, inquiries, feedback, and legal or privacy requests;
- personalize configured outputs, such as identifying which public filing matched a watchlist;
- monitor reliability, troubleshoot problems, protect accounts and the Services, prevent misuse, and enforce our Terms;
- comply with law, legal process, and regulatory obligations; and
- develop new features and understand use of the Services using information that is aggregated or otherwise processed appropriately.
3. AI Processing
Well Diagram uses Anthropic's commercial API to generate certain written summaries or briefs. For PermitPulse digests, Well Diagram may send Anthropic structured query results drawn from public RRC records, such as operator and lease names, counties, districts, wellbore profiles, depths, acreages, and filing dates. A watchlist name may also be included when needed to explain which filing matched a watchlist.
Well Diagram does not intentionally send your email address, name, payment information, or account credentials to Anthropic for this purpose. Dashboard filtering occurs within the application and is not itself submitted to the AI model. AI provider processing is also subject to the provider's applicable commercial terms and data practices.
4. How We Disclose Information
We may disclose personal information in the following circumstances:
- Service providers. We use vendors to host and support the Services, process payments, deliver emails, provide business email, generate AI-assisted text, and support security and operations. These providers may process information only as needed to perform services for us and subject to applicable contractual obligations.
- Legal and safety reasons. We may disclose information if we reasonably believe disclosure is required by law, legal process, or a valid government request, or is appropriate to protect rights, safety, property, users, or the Services; investigate fraud or misuse; or enforce agreements.
- Business transactions. We may disclose or transfer information in connection with financing, due diligence, a merger, acquisition, reorganization, sale of assets, or similar corporate transaction, subject to appropriate confidentiality protections where applicable.
- With your direction or consent. We may disclose information when you direct us to do so or otherwise consent.
We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising and do not use personal information for targeted advertising.
5. Service Providers
Our current service providers include:
| Provider | Purpose |
|---|---|
| Google Cloud Platform | Application hosting, PostgreSQL database, and file storage in the United States |
| Vultr | Server used to collect and transfer public RRC data; it does not hold customer data |
| Stripe | Hosted payment processing, subscription management, and billing portal |
| Resend | Delivery of sign-in links, digests, and service emails |
| Google Workspace | Company email and customer communications |
| Anthropic | Commercial API used to generate certain digest and brief text |
6. Cookies and Similar Technologies
Well Diagram currently uses an essential session cookie or similar technology to authenticate users, maintain signed-in sessions, and protect the Services. These technologies are necessary for the Services to function.
We do not currently use nonessential analytics cookies, advertising cookies, advertising pixels, or technologies that track users across unaffiliated websites or services. If we introduce nonessential analytics or tracking technologies, we will update this Policy and provide any notices, consent mechanisms, or opt-out choices required by applicable law.
Your browser may allow you to block or delete cookies, but blocking an essential authentication cookie may prevent you from signing in or using account features.
7. Data Retention
We retain personal information for as long as reasonably necessary to provide the Services, administer accounts and subscriptions, maintain business and legal records, resolve disputes, enforce agreements, protect security, and comply with law.
Cancellation of a subscription does not automatically result in deletion of account information or saved configurations. We may retain account information, watchlists, and other saved information after cancellation so that a customer who later resubscribes can restore or resume use of the Services. You may request deletion of personal information as described in Section 9, subject to applicable legal, security, fraud-prevention, recordkeeping, and other permitted retention requirements.
We may establish and modify retention periods for inactive accounts and different categories of information based on our operational, legal, security, and business needs. When information is no longer needed, we may delete, deidentify, or aggregate it. Information may remain for a limited period in backups and security logs until those records are overwritten or deleted in the ordinary course.
8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. Authentication is provided through emailed sign-in links rather than stored account passwords, and full payment-card information is processed by our payment processor, currently Stripe, rather than received or stored by Well Diagram. No security measure is perfect, and we cannot guarantee absolute security.
9. Your Choices and Rights
You may update certain account information through the Services and manage certain subscription and billing information through our third-party billing portal, currently provided by Stripe. You may cancel a paid subscription through the billing function in the application. You may opt out of non-transactional marketing emails by using the unsubscribe link, if provided, or contacting us. You will continue to receive necessary account, billing, security, and service communications while you maintain an account or subscription.
Depending on where you live and subject to applicable exceptions, you may have rights to request access to, correction of, deletion of, or a copy of personal information, or to appeal a decision regarding a privacy request. You may also have the right not to receive discriminatory treatment for exercising an applicable privacy right. To submit a request, contact us at privacy@welldiagram.com. We may need to verify your identity and authority before acting on a request.
We do not currently sell personal information, share it for cross-context behavioral advertising, or process it for targeted advertising, so we do not currently offer an opt-out mechanism for those activities.
10. Do Not Track
Some browsers offer a "Do Not Track" setting. Because there is no uniform industry standard for responding to these signals, the Services do not currently respond to Do Not Track signals. This does not change our statement that we do not currently use personal information for targeted advertising or cross-context behavioral advertising.
11. Children
The Services are intended for business and professional users and are not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, contact us so we can review and, where appropriate, delete it.
12. United States Processing
The Services are intended for use in the United States. We and our service providers process and store information in the United States. If you access the Services from another jurisdiction, your information may be transferred to and processed in the United States, where privacy laws may differ from those in your location.
13. Third Party Sites and Services
The Services may link to public records and other third-party websites or services. Payment and billing features may be hosted or provided by our payment processor, currently Stripe. When you provide information directly to Stripe or use a Stripe-hosted feature, Stripe’s handling of that information is also subject to its Privacy Policy (https://stripe.com/privacy). This Policy does not govern the independent privacy practices of third parties.
14. Changes to This Policy
We may update this Policy to reflect changes in our Services, data practices, vendors, or legal obligations. We will post the updated Policy and revise the "Last updated" date. If a change is material, we may also provide notice by email, through the Services, or by another reasonable method.
